We are seeking a highly organized and proactive Real Estate Assistant to join our team. The ideal candidate will provide administrative and operational support to ensure smooth day-to-day real estate operations. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities

Administrative Support:

  • Schedule and manage appointments, property showings, and meetings.
  • Prepare, proofread, and organize real estate documents such as contracts, agreements, and disclosures.
  • Maintain and update client and property databases (e.g., CRM software).
  • Answer phone calls, respond to emails, and handle client inquiries professionally.

Marketing & Communication:

  • Assist in creating and managing marketing materials, including flyers, brochures, and online listings.
  • Post and update property listings on MLS and other real estate platforms.
  • Manage social media accounts and coordinate digital marketing campaigns.
  • Coordinate open houses, events, and property tours.

Transaction Coordination:

  • Monitor and track transaction deadlines to ensure compliance with contract terms.
  • Communicate with clients, agents, lenders, and other parties to facilitate a smooth transaction process.
  • Prepare closing documents and coordinate closing activities.

General Support:

  • Conduct property research, including market trends and comparable sales.
  • Organize and maintain files, records, and office supplies.
  • Provide general support to the real estate agent/broker as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certifications in real estate is a plus.
  • Previous administrative or real estate experience preferred.
  • Strong proficiency in Microsoft Office Suite, Google Workspace, and CRM tools.
  • Knowledge of real estate software (e.g., MLS, Dotloop, DocuSign) is a plus.
  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Professional demeanor with a customer-focused attitude.
  • Ability to work independently and meet deadlines.
